Job Summary:

The Executive Assistant provides office and administrative support to the Division Head in Corporate Banking. He/ she will perform a variety of administrative, research, coordinating and logistical support to aid operations of the Division. The Executive Assistant will be responsible for the following:

 

  • Provide administrative and project management duties including calendar management, prioritization of calls/ emails, minute-taking, follow through reports and other pending matters from different divisions/ units
  • Ensure the distribution of instructions and/or documents requiring immediate attention/action to appropriate second level officers (division/department heads) in the absence of the Division Head
  • Perform document research, preparation and formalize special reports and work orders
  • Make business travel arrangements from travel approval to preparing expense reports and trip program/ itinerary
  • Ensure that the unit’s logistics/supplies are sufficient and are kept in order
  • Assist in consolidating the Division's budget by updating all budget files, assessing and making appropriate recommendations/ coordination across different units
  • Assist the Division Head in organizing team engagement initiatives e.g. team building

Qualifications

  • Minimum of a Bachelor’s Degree in any field.
  • Proficiency in using MS Office – Word, Excel, PowerPoint.
  • Experience in using other office applications (able to work with Webex, e-calendars).
  • Knowledgeable about bank policies and procedures.
  • Good people skills, able to work with people from different levels of management.
  • Resourceful and able to adapt to different changes, demands.
  • Able to handle pressure and adhere to strict guidelines.
