Position Title: Administrative Officer
Job Summary:
- Responsible for providing administrative support to the HRBP BBS Dept Head in executing the day-to-day operations of the unit.
- Responsible for maintenance of relevant data for future needs and assist in establishing trends that are relevant or useful in various analysis and verification.
- Oversees logistical synchronicity between BBS HR Business Partners (HRBP) lead, the HRBPs and BBS leadership team and contributes to the administrative order between the HRBPs and business units
Role Exposure:
- Ensures timely preparation and submission of necessary reports for to various units; these reports shall be in relation to the following matters, among others:
- Headcount and plantilla
- Employee promotions
- Employee retirements and fixed term employments
- Enrollment in development programs
- Assignment to stretch roles
- Consolidates data submitted by each BBS HRBP on certain tasks/requests; creates a database for all data and prepares top-level reports which is presented to HRBP Lead and/or BBS leadership team
- Reconciles/ checks for discrepancies on HRBP’s databases and in the HR information systems; effects necessary changes to correct the same
- Helps maintain the department’s fiscal prudence by assisting in budget preparation and monitoring its allocation and usage; regularly updates the HRBP Lead of budget utilization
- Assists in the transportation/travel related activities of HRBPs by coordinating with travel agency partners, securing tickets and related board and lodging
- Consolidates reimbursements of HRBPs and submits to the HRBP lead of approval; facilitates reimbursement through the branch
- Inventories and ensures adequacy the department’s fixtures, furniture and supplies;
- Screens and prioritizes items/matters requiring immediate attention/action to appropriate units for the HRBP lead; monitors timely closure of said items and escalations them as needed;
- Prevents over-lapping of schedules by, among others, managing the accuracy of HRBP Lead’s calendar and appointments;
- Performs other related functions that may be assigned from time to time.
Qualifications:
- Bachelor’s Degree in Psychology, Human Resources or any related courses
- Must have at least 2-3 years related experience
- Strong stakeholder management
- Good communication skills
- Knowledgeable in using MS Office Excel and PowerPoint
