Position Title: Executive Assistant

 

Job Summary:

This position is responsible for developing, monitoring and maintaining a variety of reports, presentation packs and correspondence for the CCPD office. It is also tasked with liaison functions between the CCPD department and different business units of MCC. This role also provides secretarial and administrative functions to the CCPD Head and other Senior Executives.

Duties & Responsibilities:

Liaison and Communication

  • Assists the Group Head and other members of the Leadership Team in coordinating their daily schedules and meeting requests within the Group and across the bank
  • Handles incoming and outgoing communication, reports and other related documents to and from the Office of the Group Head
  • Attends meetings and conferences as required by the Group Head.  Prepare minutes of the meetings, conference proceedings, and documentation of activities initiated or sponsored by the Office of the Group Head as required. Ensure timely distribution of minutes and presentation materials as needed.
  • Coordinate all internal activities initiated by the Office of the Group Head with the various functional groups within CCPD

General Administration

  • Develop and maintain an efficient file and records management system of the Office of the Group Head. Maintain a database of all Senior Officers’ contact & necessary information and directory of contact numbers that can be distributed as necessary.
  • Responsible for monitoring and requesting office supplies and assets for Office of the Group Head.
  • Proper management and distribution of company items & tokens in relation to business relationships Occasions such as Executives’ birthdays, burial, hospitalization, Christmas and the like should be properly monitored
  • Coordinate and oversee various logistics arrangements of business travels (local & foreign) for the Company, including travel and overseas flight & hotel arrangements
  • Assist in proper recording of holidays and leave records of the Group Head and seek the necessary approvals. Once approved, this should be submitted to HRMG

 Qualifications:

  • Bachelor’s degree holder; preferably graduate of business course.
  • With 3-4 years of work-related experience in providing direct administrative and business support to a senior executive of a company.
  • Mastery in MS Word, Excel, and PowerPoint. Familiarity with other software application package such as MS Visio or MS Project an advantage.
  • Must be highly organized, flexible, detail-oriented and resourceful.
  • Should demonstrate strong written and oral communication skills with excellent customer-service orientation.
  • Has exposure in managing VIP complaints and providing accurate and immediate resolution.
  • Knowledge or experience in finance and administration, project management or public relations preferred
  • Demonstrated ability to work effectively with individuals or teams across all levels of the organization. Experience working in a cross-cultural environment with matrix reporting functions to regional or global offices a plus factor.
