Position Title: Document Review Officer
Job Summary
This position is responsible for reviewing of credit, collateral and transactional documents, document chopping, monitoring and tracking of document deficiencies, registration/encumbrance of collateral, insurance management, and safekeeping of credit folders, and ensuring that necessary controls are set and being observed and operational risks are properly identified, reported and monitored in accordance with the regulatory and Bank policies.
Specific Duties & Responsibilities
- Supervises the preparation of loan documents for client’s signature. Ensures that the documents are correct and delivered within the prescribed turnaround time.
- Reviews all submitted loan documents as to its completeness, acceptability, and enforceability based on approved package or acceptance criteria; Facilitates document chopping – provides clearance if an account is ok to book based on documents.
- Reviews/Approves IOL-OT/LRS proposal for acceptance, deferment and waiver of minor document deficiencies based on approving authority limits.
- Ensures that all transactions are covered by proper approval. Disallow bookings with documentation deficiencies not covered by proper approval
- Requires submission of approved TRS/IOL-OT if the documents required cannot be complied immediately and in time for loan release
- Monitors expiring Deed of Undertakings for accounts booked vs. developer tie-up. Send reminder letters to developers of accounts with expired undertakings; coordinates with the Relationship Manager or Account Officer, if deemed necessary.
- Prepares proposal for extension and secures management’s approval
- Supervises Document Assistants in facilitating collateral registration and encumbrance.
- Supervises transmittal of collateral documents to Securities Management Unit for safekeeping.
- Supervises processing of fully paid loans. Ensures that all clearances are secured prior to release of original collateral documents.
- Reviews the Documentary Deficiencies based on the monthly generated report or from the documentation checklist and conducts review if necessary.
- Ensures that all collaterals are covered with insurance coverage.
Qualifications
- Bachelor’s degree graduate, preferably in business related course.
- Proficient in various software applications including MS Word, Excel, and PowerPoint.
- Must have good verbal and written communications skills.
- Must have good time management and coordination skills.
- Flexible and can multitask.
- Must be willing to report 100% onsite
- Willing to work overtime.
