Position Title:  Documentation and Reports Officer

 

Job Summary:

Responsible for ensuring compliance with documentary requirements on all Treasury transactions; prompt delivery/dispatch of checks and documents to intended parties; timely pick up of checks in payment for treasury placements; prompt delivery of reports to the BSP, the Bureau of the Treasury and other regulatory bodies; custody and imaging of documents.

 

Role Exposure:

  • Reviews the documents submitted by clients for specific treasury placements and ensures that these documents including QIB certifications are complete and in accordance with the requirements.
  • Reviews/authorizes static data created/updated in OPICS; ensures that static data created or updated are properly supported by the necessary documents.
  • Ensures that documents received are properly controlled and tagged in the documents monitoring system.
  • Reviews regularly the entries in the documents monitoring system and makes prompt follow up with concerned branches of any documentation deficiency and ensures submission within the prescribed deadline.
  • Responsible for the timely and accurate preparation of Treasury-related reports required by the BSP including CAR reports and other regulatory bodies.
  • Ensures that documents are promptly dispatched to intended parties.
  • Signature verifies Clients’ letter of authority and other Treasury documents.
  • Reviews/signs the Official Receipts issued for checks received in payment for specific Treasury placements; ensures that checks received are complete and are delivered to Clearing Department within set deadline.
  • Supervises the activities of the motorized messengers assigned at the Division and ensures that their assigned tasks are properly carried out; ensures that services of the motorized messengers are maximized.
  • Acts as main custodian of accountable forms and ensures usage/issuance is properly controlled and accounted for; ensures that stocks of accountable forms are kept within reasonable level.
  • Reviews the completeness and accuracy of manually generated AMLA covered transactions reports and ensures submission within the prescribed deadline.
  • Rates the performance of Treasury Operations Assistant assigned at the Documentation and reports Section.
  • Coordinate with the officers of other departments in the Division regarding completeness of documents to be submitted to Third Party Custodians to ensure that clients’ securities accounts are opened within set deadline.
  • Acts as reliever to the other officers of the Department as may be designated by the Department Head, performs other related functions that may be assigned from time to time.

 

Qualifications:

  • Graduate of any business course. 
  • With experience in Treasury operations.
  • Can work both independently and in a team
  • With strong attention to detail
