Position Title: Executive Assistant
Job Summary:
Provides administrative and office support to the Senior Officers (FVP and up).
Role Exposure:
- Monitors activities of supervising executive to prevent over-lapping of schedules
- Gathers pertinent data from supervising executive relative to the preparation of various reportorial requirements
- Provides administrative support along the areas of committee meeting documentation, follow through reports and other pending matters from different divisions/units
- Generates reports, coordinates various correspondences and performance of administrative tasks within the group
- Ensures distribution of instructions and/ or documents requiring immediate attention/action to appropriate second level officers (division/department heads) in the absence of the group head
- Screens incoming phone calls. Receive guest/visitors of supervising executive
- Maintains a record of all incoming/outgoing transactions/ documents of the Group Head including schedules and appointments
- Make business travel arrangements
- Sorts, reviews and prepares reply to incoming correspondence
- Arranges and reviews all documents needing approval or signature of supervising executive
- Ensures the group 's logistics /supplies are sufficient and are kept in order
- Maintains an organized filling system for all documents including confidential files
- Attends to special instruction on miscellaneous and official matters
- Performs other related functions that may be assigned from time to time
Qualifications:
- Graduate of any Business-related courses
- At least 3 years working experience
- Strong quantitative and analytical skills
- Must have a pro-active approach to problem solving and the ability to meet tight deadlines
